Program Coordinator

Program Coordinator is responsible for providing tactical support to the various A4 programs across multiple sites, by supporting site coordinators, assisting with program processes and contributing to program team efforts.

This is a hybrid position requiring 1–2 days per week in the Academy 4 office, with additional responsibilities carried out at partner school campuses and within the Dallas-area community as part of regular job duties.

    • Organized self-starter who exhibits an attention to detail, possesses time management skills, and excels at executing processes and procedures.

    • Able to clearly describe the goals and supporting tasks that accomplish the mission of Academy 4 in speaking and writing.

    • Able to demonstrate they are a leader who can support a local team of volunteers and encourage and support other Site Coordinators in their role and communicate effectively with staff and volunteers.

    • Proficient with Word, Excel, PowerPoint, SharePoint and MS Teams.

    • Able to walk considerable amount on school campuses, lift and carry up to 30lbs of supplies and equipment to run the program.

    • As necessary, fill in as acting Site Coordinator for an absence or if a position is vacated for a period.

    • Coordinate signature Academy 4 program details with the school’s 4th grade teachers and administrators following all Academy 4 policies and procedures.

    • In year two of the program, coordinate with church partner to facilitate LEADERS 5 on school campus for 5th and 1st graders.

    • With support from the church, primary sponsor, and the Academy 4 staff, recruit volunteers. Ensure training, screening, and support of all volunteers including:

      • Mentors

      • Club leaders

      • A4 Crew (emcee, set-up and clean-up crew, check-in coordinator)

      • Leaders 5 (if applicable)

    • Serve as the primary point of contact and the face of Academy 4 with the school, the church partner, and other community partners.

    • Prepare well for each A4 Friday and Leaders 5 (if applicable) to ensure volunteers have all the materials they need.

    • Troubleshoot and problem solve all on-site challenges with support of Program Manager.

    • Learn core functions of volunteer management systems & maintain accurate records and update volunteer data in a timely manner.

    • Attend weekly staff meetings and take part in routine check-ins with the Program Manager.

    • Submit monthly reports to churches and other partners.

    • Submit time sheet and expense forms in a timely manner.

    • Organize and maintain inventory of office supplies at the Academy 4 office, ensuring materials are stocked, labelled, and easily accessible for staff use.

    • Manage supply transfers between the Academy 4 office and the Dallas Workroom, including delivering materials, replenishing inventory, and retrieving needed items to keep both locations fully stocked.
